1. Who we are
Ai-Line is a trading name of Meelad Hamdard, a sole trader based in England, whose business address is Burney House, Hainault Business Park, 11–17 Fowler Road, Ilford IG6 3UJ. For the purposes of UK data protection law, Meelad Hamdard is the data controller for the personal data described in this policy.
This policy explains how we collect and use personal data when you visit our website, contact us, call our demo line, or become a client.
2. Our role: controller and processor
- Controller: for personal data about our website visitors, enquirers, demo-line callers, and the businesses we work with and their staff, we are the data controller.
- Processor: when our AI receptionist answers calls for a client business, we process the callers' personal data on behalf of that business. The client business is the data controller, and its own privacy notice applies. If you called a business answered by Ai-Line and want to use your data rights, please contact that business first. We will help them respond.
3. What we collect
| Source | Personal data |
|---|---|
| Contact form and emails | Name, business name, email address, phone number, the plan you're interested in, and anything you write in your message. |
| Demo line calls | Your phone number, call recording, call transcript, and any details you give during the call (such as your name, business name or contact details). |
| Clients | Contact details of your staff, billing details, contracts, and correspondence. |
| Website | Basic technical data your browser sends, such as IP address and browser type, which our hosting provider records in server logs for security. |
4. How and why we use it
| Purpose | Lawful basis (UK GDPR) |
|---|---|
| Replying to your enquiry and arranging a pilot | Legitimate interests (responding to business enquiries), and steps before entering a contract |
| Running the demo line, including recording calls to show how the service works and to improve it | Legitimate interests (demonstrating and improving our service). Callers are told at the start of the call that it may be recorded. |
| Providing our services, billing and account management | Performance of a contract |
| Keeping financial and tax records | Legal obligation |
| Keeping our website and systems secure | Legitimate interests (security) |
| Occasional updates about our services to business contacts | Legitimate interests. You can opt out at any time by replying "unsubscribe" or emailing us. |
We do not sell personal data, and we do not use it for automated decisions that have legal or similarly significant effects on you.
5. Calls handled by Ai-Line
When Ai-Line answers calls for a client business, it may collect callers' names, phone numbers, email addresses, appointment details, call recordings and transcripts. We use this data only to provide the service the client business has asked for, such as booking appointments, sending payment links and passing messages to its team, and in line with our data processing agreement with that business. Every caller is told at the start of the call that they're speaking to an AI assistant and that the call may be recorded.
6. Who we share it with
We share personal data only where needed, with carefully chosen service providers who act on our instructions, including:
- telephony providers, who connect and route calls;
- AI voice and language technology providers, who power the AI receptionist;
- email and productivity providers;
- website hosting providers, who host this website and receive contact form submissions;
- payment and accounting providers, for billing;
- professional advisers such as accountants and lawyers, where necessary.
We may also share data where required by law, or with a buyer or successor company if the Ai-Line business is transferred. A current list of our main service providers is available on request.
7. International transfers
Some of our service providers are based outside the UK, including in the United States, or may process data there. Where this happens, we make sure appropriate safeguards are in place, such as the UK International Data Transfer Agreement, the UK Addendum to the EU Standard Contractual Clauses, or the UK-US data bridge where it applies.
8. How long we keep it
- Enquiries that don't lead to a pilot: up to 12 months after our last contact.
- Demo line recordings and transcripts: up to 90 days, unless we need them longer to look into a problem.
- Client records: for the length of our contract and then for up to 6 years, for legal and accounting purposes.
- Caller data processed for clients: as set out in our data processing agreement with each client.
9. Security
We use appropriate technical and organisational measures to protect personal data, including access controls, secure providers, and limiting access to people who need it. No system is completely secure, but we work to protect your data and will tell you and the ICO about any serious breach where the law requires it.
10. Your rights
Under UK data protection law you have the right to:
- access the personal data we hold about you;
- have inaccurate data corrected;
- have your data deleted in some circumstances;
- restrict or object to how we use your data, including for direct marketing;
- receive your data in a portable format in some circumstances.
To use any of these rights, email us using the details below. We'll respond within one month. There's usually no charge.
11. Cookies
Our website does not use advertising or tracking cookies, and we don't use analytics that track you across websites. The site loads fonts from Google Fonts, which means your browser connects to Google's servers and shares your IP address with Google. Our hosting provider may use strictly necessary technical data to deliver the site securely. If we add analytics or other cookies in future, we'll update this policy and ask for your consent where required.
12. Complaints
If you have a concern about how we use your data, please contact us first so we can try to put it right. You also have the right to complain to the Information Commissioner's Office: ico.org.uk/make-a-complaint, or by calling 0303 123 1113.
13. Changes to this policy
We may update this policy from time to time. The "last updated" date at the top shows when it was last changed.
